Summary:    

Secure and service event business from our small group, wedding and social market segments through active and effective promotion, solicitation, and prospecting, while maintaining Viceroy standards and maximizing revenue/profit potential.

Education: College degree preferred

Experience: 3-5 years previous catering sales experience and a minimum 3 years of wedding sales and servicing

Systems:     Proficient in Delphi/SalesForce, Social Tables, Microsoft Office (Word, Excel, PowerPoint, Outlook) and the ability to utilize the Internet

Requirements:

  • Exceptionally strong ability to communicate in English, both orally and in writing, with guests and employees, some of whom will require high levels of patience and professionalism.
  • Strong selling and interpersonal skills, high level of creativity and attention to detail.
  • Ability to handle multiple tasks and make decisions in a fast-paced, client driven environment.
  • Track record of developing long term relationships and contacts.
  • Ability to quickly evaluate alternatives and decide on a plan of action in the face of challenges.
  • Ability to work under pressure and deal with stressful situations during busy periods.

Essential Functions:

  • Actively solicit new business and respond to inquiries with the intention of confirming profitable catering business and achieving quarterly sales goals.
  • Maintain an active trace/follow-up system on all inquiries and personal sales calls.
  • Responsible for booking and handling all group inquiries of 20 rooms or less.
  • Responsible for booking and handling any large restaurant reservations in our private dining room for parties of 10 to 25 people that require a banquet event order.
  • Conduct property tours and entertain planners of meetings, social events, and weddings.
  • Execution of internal communication, including but not limited to: banquet event orders and group resumes.
  • Develop menus and agendas, ensure banquet event orders are issued, and complete all pertinent correspondence with outside vendors to finalize events.
  • Maintain current information and monitor local and industry booking trends.
  • Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not limited to: Morning Manager Meeting, Morning Event Sales Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting, Pre-Convention Meetings, Menu Tastings, and Planning Visits.
  • Collaborate in team strategy to ensure proper utilization of function space to yield maximum revenues.
  • Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports) and personal contact with all departments for the success of the event.
  • Prepare monthly booking reports.
  • Keep Directors of Catering and Group Sales promptly and fully informed of all problems or unusual matter so prompt corrective action can be taken where appropriate.
  • Supervise the execution of banquet events. Review all function space with banquet manager.
  • Ensure satisfaction of client at the outset of all events.
  • Ensure accuracy of Banquet Checks and provide bill review on completion of event.
  • Finalize billing and payment details between the client and Accounting Group Manager.
  • Comply with Viceroy and East West standards for sales and marketing, while working harmoniously and professionally with co-workers.

 

Non-Essential Functions:

  • Assist Banquet team as required, particularly during large group movements. 
  • Assist with all guest inquiries within the Sales/Event Sales/Group Services Department, including assistance with high telephone volume and walk-in site tours.
  • Perform other tasks or projects as assigned by hotel management.
  • Be fully versed in the facilities and capabilities of the resort’s competitive set.
  • Maintain a presence in the community through involvement with industry associations.
  • Assist in developing and executing projects for assigned market areas to increase catering activity, volume, and revenue.

 

Environment: Physical Job Requirements (for essential functions only)

  • Occasional Lifting/Pushing/Pulling/Carrying Required, occasional lifting of 10-20 pounds.
  • Occasional Bending/Kneeling Required, frequently during events.
  • Mobility – Stationary Position, sitting: over half the day. Standing and walking up to 4-5 hours per day performing normal tours of property and overseeing functions.
  • Continuous Standing, standing and walking up to 4-5 hours per day performing normal tours of property and overseeing functions.
  • Climbing: stairs – up to approx. 25 steps. Ladders – not required, standing and walking up to 4-5 hours per day performing normal tours of property, including one flight of stairs while overseeing functions.
  • Driving, occasional need to attend offsite events.
  • Work environment: 90% inside, 10% outside.
  • Vision, Critical – In-person communication with event planners and guests; and heavy computer use.
  • Speech, Critical – Phone and in-person communication with event planners and guests.
  • Literacy, Critical – Heavy dependency on reading skills, along with communication with guests and suppliers.
