Court Records Deputy IV - Criminal

This position is full-time, nonexempt, classified and covered as defined by The Board of Commissioners of the County of Allen Employee Handbook.
Hours are 8:00 am- 4:30 pm and as needed, 37.5 hours; overtime as required
Under the direction of the Court Records Division Supervisor, the Court Records Deputy IV prepares official court record of judgments and orders (RJO) books, analyzes entries and issues court documents for the arrest and release of defendants and maintains confidentiality of various court records according to Indiana Statute and State Supreme Court guidelines.
ESSENTIAL FUNCTIONS:
- Reviews court orders and determines need for issuance of related documents and legal notifications such as arrest warrants, SR 16's to the Bureau of Motor Vehicles, bond modifications, jailer’s releases and forwards same to appropriate department, facility or agency.
- Analyzes court orders in felony cases. Works with court staff, judicial assistants, and judges to resolve inconsistencies and assures completeness and accuracy of court records using experiential knowledge.
- Determines case type designations for new filings for felony cases.
- Assess all fees for collection purposes. Enters and monitors tracking control numbers that report felony conviction data to the Indiana State Police – Central Repository.
- Processes no contact orders and notifies protected persons.
- Reviews case files and records entries using appropriate codes. Maintains party information including personal data, addresses, attorneys, and bail and bond agents of record.
- Maintains status of active warrants in Odyssey.
- Notifies the Prosecutor’s Office, Probation Department, Pre-Trial Services Division and law enforcement agencies of important developments.
- Performs bond maintenance in Odyssey by posting and releasing surety bonds. Manually releases bonds in the surety bond judgment docket.
- Answers telephone and provides public assistance. Responds to inquiries, provides information and assistance and/or refers to appropriate person or department.
- Issues notices to parties of record pursuant to Trial Rule 72(D).
- Compiles the Record of Judgments and Order (RJO) books.
- Performs all other duties as assigned, including overtime as required.
REQUIREMENTS:
- Associate’s Degree in Business or related field and/or equivalent combination of education and work
- Ability to work under pressure and perform tasks with minimal supervision
- Knowledge of regulations, standard policies and practices of the Court Records Division and the Clerk’s Office
- Ability to maintain strict confidentiality
- Strong verbal and written communication skills
- Ability to type 50 words per minute
- Strong computer skills with the ability to use Microsoft Office and other job related software
- Working knowledge of criminal court orders, related legal terminology, procedures and documents
- Must be an Allen County resident per Indiana Code
WORKING CONDITIONS:
The Court Records Deputy IV works in a standard office environment needing to move around frequently and freely to obtain files and records. This task includes frequent lifting up to forty pounds, bending, pushing and/or pulling loads, reaching overhead, kneeling, crawling, and climbing ladders. Data entry along with an attention to detail while inspecting and proofreading is required. Some exposure to noise is expected.
