Human Resources Specialist


The Benefits Specialist is responsible for managing and administering the processes related to Workers’ Compensation, Leave of Absences, and reasonable accommodation requests under the ADA – Americans with Disability Act as well as benefits administration. The Benefits Specialist will support general HR functions, including payroll, paid time off programs and reporting. The position works closely with HR Business Partners, retail locations and third-party vendors to provide operational and administrative support.

Key Roles and Responsibilities:

Leaves, Workers’ Compensation and ADA:


  • Main point of contact for employees inquiring about Leave of Absences, Worker’s Compensation and Reasonable Accommodations under the ADA, engaging in the interactive process, and providing employees guidance on their eligibility based on state and federal laws
  • Send necessary paperwork to employees, process claims, track benefit payments and time off due for all Leave of Absences including but not limited to: Disability, Workers’ Compensation, FMLA, CFRA, WA Paid Family and Medical Leave, Parental Leave, Military Leave, and Personal Leaves
  • Review medical certification and determine eligibility, approving or denying leave requests and ADA reasonable accommodation requests in compliance with state and federal regulations
  • Advise HR Business Partners and Management on all Leave of Absences and Workers’ Compensation cases.  Partner with HR Business Partners and Management to determine if accommodation requests and/or work restrictions can be accommodated with consideration of employee’s job description
  • Communicate approvals, denials, leave extensions, re-certifications, return to work plans and other relevant information regarding the leave to employee, HR Business Partners and Management as appropriate
  • Work with third party vendor to ensure appropriate management and monitoring of Workers’ Compensation claims
  • Collaborate with Workers’ Compensation vendor, attorneys, and adjustors to evaluate, investigate and resolve claims 
  • Coordinate approvals for Worker’s Compensation settlement offers and gather relevant data as requested for all hearings and arbitration


  • Manage Store Safety programs including review of topics, sending out communications, updating safety documents to ensure compliance and following up with Managers on pending trainings
  • Manage the Annual Safety Store Trainings, working with vendor and Workers’ Compensation carrier to remain on budget
  • Review Workers’ Compensation cases to ensure safety policies and procedures were followed and provide guidance as needed
  • Work with HR Business Partners on fostering an environment of safety


  • Manage Benefits email account and HR/Benefits phone line, responding to employee inquiries
  • Conduct benefit premium, employee status and enrollment audits, ensuring employee data is accurate in systems
  • Review, reconcile and submit benefit monthly and quarterly invoices for payment
  • Create and distribute standardized reports and produce ad-hoc reports as needed
  • Oversee vacation and sick pay policies, ensuring compliance with local ordinances

Other Duties

  • Act as back up to HR email account, responding to employee inquiries and forwarding to applicable team member as needed
  • Provide secondary support for payroll processing as needed
  • Assist with special projects in Payroll and HR technology processes
  • Act as back up to unemployment claims and employment verification processes
  • Other duties as assigned

  • Intermediate or higher Excel proficiency required

Education & Experience:

  • BA/BS or equivalent work experience
  • 2 - 4 years in WC, LOA, ADA and benefits administration or an HR Generalist role
  • Experience in FMLA, ADA, CFRA, WA Paid Family & Medical Leave, Military Leave, Pregnancy Disability, Parental Leaves and Personal Leaves required
  • Experience working with benefit plans including medical, dental, vision, Flexible Spending Accounts, life insurance, AD & D and EAP
  • Payroll experience a plus
  • Experience with ADP Vantage is strongly preferred
  • Retail industry experience preferred
