JOB SUMMARY

Under the general direction of the presiding judge and the juvenile court services director, the Judicial Assistant ensures that the offices of the Presiding Judge and the Magistrate Judge for Blount County Juvenile Court are professionally and efficiently operating.

ESSENTIAL JOB FUNCTIONS:      

  • Assists, answers questions, and interacts with fellow employees, judges, attorney general, attorneys, law enforcement, public defender, general public and others associated with cases;
  • Assists the presiding judge and the juvenile court services director in preparing and submitting the annual and mid-year request for the Juvenile Court budget;
  • Review and ensure that all time cards, sick leave, and vacation requests are properly submitted for approval;
  • Schedule performance evaluations and ensure that reviews are maintained securely;
  • Liaison between the Juvenile Court and other departments (including but not limited to Human Resources and Finance/Accounting); between the Judges, the Department of Children’s Services, the Department of Human Services, the District Attorney General and Juvenile Detention Center;
  • Assists the presiding judge and the juvenile court services director and oversees the daily expenditures from the Juvenile Court budget to include coordinating purchases and expenses for the Judge, the Magistrate, Juvenile Court Services Director, and each Youth Services Officers;
  • Act as Property Coordinator for the Juvenile Court Judge, Magistrate, and Youth Services Officers;
  • Attend meetings and training sessions on new policies and procedures;
  • Coordinate the Juvenile Courts’ schedule, including the law enforcement court schedule, court holiday schedule, and the emergency hearings schedule;
  • Coordinate meetings and training sessions necessary for the efficient operation of the judicial system;
  • Maintain Grant Notebooks documenting all grants the Juvenile Court receives;
  • Coordinate with the Department of Children’s Services to schedule required background checks and fingerprinting for all employees;
  • Screen all communications and requests made to the Judges, either in person, by telephone or through the mail, to ascertain the reason for the contact and determine if matter is appropriate for the Judge’s consideration;
  • Manage the Judge’s schedules and prioritize requests that are made of his/her time to ensure urgent matters are addressed immediately and that all matters are addressed timely;
  • Coordinates with the clerk’s office to ensure cases are accurately set and that the docketed cases can be heard within the time constraints of the court day schedule;
  • Review for accuracy orders and paperwork submitted for approval;
  • Draft and prepare orders and paperwork for the Judge’s approval;
  • Files and organizes paperwork;
  • Maintains materials and discards outdated materials; and
  • Performs other assigned duties.

Minimum Requirements

 

 

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High school diploma
  • Three (3) years of experience in the legal field preferred;
  • Or equivalent training, education, and/or experience; and 
  • Valid driver’s license.

 

Knowledge, Skills and Abilities:

  • Knowledge of the principles and methods used in the Juvenile Court system;
  • Knowledge of human behavior and performance regarding individual differences in ability, personality, and interests, learning and motivation;
  • Skilled in the use small office equipment, including copy machines or multi-line telephone systems;
  • Skilled in using computers for data entry;
  • Skilled in using computers for word processing and/or accounting purposes;
  • Ability to work in a dynamic environment that requires adaptation to changing goals, priorities and needs;
  • Ability to organize, and communicate effectively; and
  • Ability to maintain constructive and cooperative working relationships with others; and
  • Ability to cooperate with fellow employees as a team member.

PHYSICAL DEMANDS:

  • Work requires lifting and carrying (up to 10 pounds); grasping, handling, hearing, lifting, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity, and walking.

WORK ENVIRONMENT:      

  • Most work is performed in a well-lighted, modern office setting with centrally controlled heating and air conditioning.
