JOB SUMMARY

The Records Manager and County Archivist provides technical expertise and supervisory control to establish, operate and maintain an effective records management and archives program.

ESSENTIAL JOB FUNCTIONS:     

  • Develops plans and programming, formulates budgetary data, assigns job duties, conducts employee evaluations, prepares contractual obligations, develops educational curriculum, and reports parameters as they relate to the overall programming of the office;
  • Supervises the digital records program;
  • Fills public and history records requests;
  • Maintains inventory of records;
  • Balances and makes deposits;
  • Acts as the Secretary of Records Commission;
  • Transports and receives records and mail;
  • Finds and writes administrative grants;
  • Accepts, receives, and/or collects payments;
  • Prepares and/or processes purchase orders;
  • Performs inventory/property management;
  • Manages or administers grant funds;
  • Makes recommendations that impact the budget;
  • Manages the budget within assigned unit/division;
  • Manages the budget within assigned department;
  • Reviews and writes procedures;
  • Creates budget and authorizes permits;
  • Writes requisitions and purchases supplies;
  • Records Payroll time, benefits & schedule;
  • Performs general labor necessary to operate the Records Department by moving, lifting, and retrieving boxes as needed;       
  • Retrieves and moves records while shredding records that have met their disposition date.
  • Assists in re-boxing, labeling, cleaning, flattening, and making new folders for records and filing;
  • Scans documents and index;
  • Ensures security of confidential information;
  • Destroys records according to department policy; and
  • Performs other assigned duties.

Minimum Requirements

 

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • Associate’s Degree; preferred
  • Three (3) years of experience; preferred
  • Archives Manager, Public Administrator, and Supervision certifications are required; within one (1) year of employment
  • Or equivalent training, education, and/or experience; and 
  • Valid driver’s license.

KNOWLEDGE, SKILLS, AND ABILIITIES:

  • Knowledge of departmental practices and systems;
  • Skilled in the use small office equipment, including copy machines or multi-line telephone systems;
  • Skilled in using computers for data entry;
  • Skilled in using computers for word processing and/or accounting purposes;
  • Ability to maintain a professional demeanor and an orientation towards customer service;
  • Ability to supervise, organize, and communicate effectively;
  • Ability to maintain constructive and cooperative working relationships with others; and
  • Ability to cooperate with fellow employees as a team member.

PHYSICAL DEMANDS:

  • Work requires lifting and carrying (up to 20 pounds); balancing, climbing, crouching, handling, hearing, lifting, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, talking, visual acuity, and walking.

WORK ENVIRONMENT:     

  • Most work is performed in a well-lighted, modern office setting with centrally controlled heating and air conditioning.
