Position Summary:  Under the general direction of the Department Director or designee, performs advanced Administrative work involving the exercise of considerable independent initiative and judgment.     

Reports to:  DEPARTMENT DIRECTOR OR DESIGNEE

 

OVERVIEW

Performs a variety of responsible and complex administrative and clerical tasks requiring independent judgement and action.  Applicant must be a self-starter, able to multitask in a very busy environment. 

 

SUPERVISION RECEIVED AND EXERCISED:  Non-exempt, non-supervisory position.

 

Examples of Duties

ADMINISTRATIVE DUTIES:  Must provide administrative support for entire department.

 

Routes incoming department mail and correspondence.

 

Keeps daily calendar of meetings and personnel travel.

 

Fields/answers routine and non-routine phone calls and emails.

 

Provides monthly financial updates of purchases for department.

 

Responsible for coordinating travel for all department staff.  This includes processing travel requests for approval that include cost comparisons and justifications, travel expenses, assigning budget codes, and maintaining accurate records in a computerized environment.

 

Works independently and within a team on special nonrecurring and ongoing projects.

 

Attends appropriate meetings and keeps staff informed on internal policy and procedures.

Cross trains with key personnel on various programs to provide relief and/or additional support.

 

SUPPORT DUTIES:  Establishes and maintains accounts and ledgers as assigned.  Balances, reconciles and analyzes ledgers, accounts and statements.  Prepares summaries and reports for monthly activity for assigned projects.

 

Assists with contract/grant preparation, administration, amendments, and/or closeouts. Processes grant/contract invoices and tracks contract/grant budget and expenditures.

Assist in the preparation of the departmental budget for both the operating and capital budget.

Order all department supplies and track budgets.

 

Maintain accuracy of databases; categorize and input data, reconcile discrepancies, compile information

Coordinates with other departments or outside parties to accomplish an assigned task or project.

 

Performs other duties as assigned.

 

Knowledge, Skills and Abilities

 

Knowledge of: principles, practices and procedures of the corporation.  Must be able to use a variety of software programs. Must have some knowledge of travel procedures and regulations and knowledge of procurement practices and procedures.

 

Skills and Abilities:  Must be proficient in multiple software programs or their equivalent: Microsoft Office, including Excel, Word, PowerPoint, Outlook.  Mainframe accounting systems, general ledger, travel and expense software, accounts payable system and query systems.

 

Abilities to: multi task, communicate clearly, have good interpersonal skills, work independently, be organized and use time efficiently.  Work with a variety of people both inside and out of the corporation.  Use independent judgment and complete tasks in a timely manner.  This position requires someone willing to work in a challenging environment meeting deadlines.

 

Minimum Requirements

 

Minimum Qualifications:

Associates degree from an accredited college with an emphasis in accounting or closely related field and 2 years’ experience in travel processes and budgeting in a computerized environment.

 

Substitution:  Additional professional accounting experience may be substituted for the required education on a year for year basis.

 

This is a level 14 position with an annual salary of $44,737.32 (26 pay periods).  Excellent benefits, including medical, dental, vision, and leave package.
