This position is full-time, nonexempt, classified and covered under the Superior Court Employee Handbook. This is an employee-at-will position.

Hours are 8:00 am - 4:30 pm and as needed; 37.5 hours/week; overtime as required

Under the direction of the Budget Analyst, the Finance Secretary collects fees and restitution, provides assistance to the Allen County Juvenile Center (ACJC) Budget Analyst, and provides secretarial support to the Juvenile Probation Department.


  • Collects probation fees, detention fees and restitution payments received at payment window and through the mail.  Processes fees and restitution received via Quest case management system.  Prepares and mails victim reimbursement checks (restitution).
  • Balances daily collections and prepares bank deposit.  Distributes money to the Auditor on monthly basis.  Cooperates and assists State Board of Accounts in yearly audit.
  • Assists the Administrative/Community Service/Fee Collection Probation Officer in her daily duties including, but not limited to, tracking fees and/or probation requirements, preparing and sending correspondence to probationers who owe fees and/or are out of compliance with administrative probation requirements, answering incoming calls, receiving office visitors, answering related questions and maintaining restitution files for juveniles ordered to pay.
  • Assists the ACJC Finance Budget Analyst, as deemed necessary, to process purchase orders, requisitions and reconcile the same with invoices and resolve discrepancies.
  • Prepares and processes claims, submit travel and expense claims and submit to Budget Analyst prior to Auditor’s Office and Purchasing Department.
  • Maintaining accounts payable and accounts receivable records.
  • Covers main Probation Information desk.  Answers telephone and receives office visitors, determines nature of call, schedules appointments and interviews, provides assistance and information as appropriate and/or refers callers to appropriate person or department.
  • Schedules weekly Placement Boards and types all Placement Board Recommendation Reports.
  • Assists Operations Division in fee collection process, sending letters and answering calls.
  • Assists other Department support staff as needed, including but not limited to, typing court reports, preparing files for court, completing background checks, pulling files, processing police paper referrals, data entry, scanning, filing, proofreading, purging/shredding, and distributing mail.  
  • Assists with training other Department support staff as required.   
  • Performs all other duties as assigned.



  • High School Diploma or GED with secretarial and financial experience preferred
  • Ability to be Cardiopulmonary Resuscitation (CPR) and first aid certified 
  • Ability to obtain Public Notary
  • Ability to handle large sums of money
  • Strong written and verbal communication skills
  • Ability to type 40 WPM
  • Strong computer skills with the ability to use Microsoft Office and other job related software
  • Knowledge of Quest preferred
  • Knowledge of Quicken


The Finance Secretary works in a standard office environment with the ability to move around freely requiring some lifting, bending, pushing and/or pulling loads, reaching over head, kneeling and climbing ladders.  The Secretary will have interaction with juvenile delinquents and their families with some of them having a history of violent and/or aggressive behavior.
