Payroll Administrator (Temporary)

Temporary position for 6- 10 months (backfill)

$25.00 - $30.00 DOE


We are looking for a payroll specialist with processing weekly Orchestra payroll, candidate should have a background in Union payroll preferably with the American Federation of Musicians (AFM).

The role is primarily responsible for preparing and processing orchestra payroll on a weekly basis for full time orchestra members, extra Musicians, and HBO Musicians (if applicable) in accordance with Union agreements.

Responsibilities include:

  • Regular weekly pay – based on Union
  • Media pay (when applicable)
  • teaching lesson payments for Orchestra
  • Processing and payment of orchestra dues
  • Prepare, process, and send weekly and monthly union reports and dues for AFM and Local 47
  • Process annual ICSOM and LAPOC dues in UKG
  • Process annual ICSOM and LAPOC payment request via Accounts Payable system to Unions
  • Send annual ICSOM and LAPOC reports to respective union
  • Respond to AFM and Local 47 union inquiries
  • Assist Orchestra Musicians with inquiries
  • Create weekly union reports for AFM and Local 47 benefits (Pension, H&W, and Dues) for submission of timely payments
  • Ability to interpret union contracts

Other (Benefits)

  • Process (new) benefit deductions (HSA/FSA/DCFSA/LPFSA) in UKG per Benefits Manager
  • Run Deferral Feedback Report in Fidelity for 403b and 457b and process changes in UKG for all employees
  • Work with Benefits Manager on EDD salary offsets
  • Create and balance weekly contribution import files for FSA, DCFSA, LPFSA and import into HealthEquity/WageWorks
  • Create and balance weekly contribution import files for 403b, 457b, HSA contributions and import and fund through Fidelity website
  • Update weekly General Ledger report with GL project codes for Orchestra, Extra Musicians and HBO Musicians (if applicable)
  • Assist payroll team with employee Time adjustment forms when needed
  • Audit 403b YTD limits
  • Work with outside auditors on annual 403b and Musician and Staff Pension audits
  • Participate in Weekly payroll and GL meetings – actively assist in resolving issues.
  • Bachelor’s degree or Payroll certification highly preferable
  • Understanding of payroll practices and time and attendance administration
  • Specialized knowledge of payroll reporting, principles, practices, and procedures
  • Computer proficiency required (Microsoft Excel, Word, Outlook)
  • UKG experience is a plus
  • Must be extremely detail oriented with high accuracy and productivity
  • Open to a flexible work schedule
  • Ability to manage competing and sometimes shifting priorities in a deadline-oriented environment
  • Strong interpersonal skills, manage email communications and work cross functionally to resolve issues
