Administrative and Support



Job Summary:  Acts as liaison between various departments, salespeople and customers to facilitate communication and expedite order and invoicing processes. 

Essential Functions

  1. Coordinates and arranges meetings, prepares agendas, arranges meals, reserves and prepares conference room.
  2. Monitors specific categories of shipments for quick and efficient invoicing and or warehouse to warehouse movement and receipt.
  3. Assists in data management.
  4. Maintains distribution lists.
  5. Fields calls from customers and problem solves as necessary to address concerns.
  6. Creates memos, correspondence, reports, and other documents when necessary.
  7. Acts as cover person for review and composition of Trident News interoffice messages.
  8. Prepares courier packages, using Fed Ex, DHL and other necessary websites and audits related invoices for payment. 
  9. Provides two-hours daily back-up coverage to reception staff
  10. Orders and maintains supplies, arranges for office equipment maintenance as instructed.
  11. Organizes and maintains file system, and files correspondence and other records.
  12. Uses critical thinking and communication skills to expedite solutions among various parties involved in related JDE system processes.
  13. Performs various special projects to support Global Sales and Executive Support Team, duties to be assigned as needed.

Minimum Qualifications:


- 3 years or more of administrative work experience required.

- Excellent customer service skills required.

- Ability to meet multiple tasks/projects deadlines with changing priorities while maintaining a profesional attitiude.

- Strong interpersonal skills; excllent verbal and written communication ability.

- Proficiency in Office Suite (Word, Excel, PowerPoint, and Outlook) is required.

Special Training/Skills:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. To perform this job successfully, an individual should have knowledge of email, spreadsheet software, word processing software and presentation software. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

Work Environment:    While performing the duties of this Job, the employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.

Physical Demands:    While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is occasionally required to stand; walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds.

Mental Activities:        While performing the duties of this job, the employee is regularly required to read, speak, write and understand English, and to use customer service skills. The employee is frequently required to use interpersonal and teamwork skills. The employee is occasionally required to use creativity, independent judgment, discretion, and problem analysis.
