Summary:  The Administrative Project Assistant will support and facilitate the efficient execution of major infrastructure and organizational projects through high level administrative functions to include project organization, communications, compliance, analysis and reporting for numerous projects simultaneously while providing admin support to the Alaska Operations VP and team.  The ideal candidate is a self-starter, can manage projects from start to finish with minimal supervision, highly proficient in Microsoft Office (Outlook, Excel, Word and PowerPoint) and has excellent verbal and written communication skills.

This hybrid position will be a combination of remote and onsite at the Trident Support Center office in Seattle, WA. Our hybrid work environment includes remote on Monday and Friday and in the Support Center on Tuesday, Wednesday, and Thursday.

 Key Responsibilities:

  • Manages all Alaska-based project materials, including making updates or changes, formatting, and storing in an organized, central repository.
  • Provides regular analysis, presentations and reports to the Sr. Vice President, Alaska Operations on the status of projects and tasks.
  • Coordinates with cross functional key stakeholders and business leaders to gather required information and ensure they are kept current on project statuses and expected deliverables.
  • Sends, tracks, organizes and reports on RFP requests and submittals, and provides comprehensive results to key stakeholders.
  • Provides daily administrative support to assigned executives on all aspects of their schedules and projects, including coordinating and scheduling meetings, preparing meeting agendas, and maintaining and managing personal calendars.
  • Supports communications workflows, including the management of phone calls, electronic messages, and follow up.
  • Provides Microsoft Word, PowerPoint, and Excel formatting, proofing, editing, copying, and promotes high-level reporting and output.
  • Manages physical and electronic documents and files consistent with Trident’s records retention policies. Performs file and data storage and maintenance using Microsoft Teams and Power BI.
  • Assists team members and/or assigned project managers with researching, printing, scanning, shipping services, office organization, travel arrangements, expense reporting, etc.
  • Prepares reports and other deliverables and generally supports assigned projects through completion/delivery.
  • Prepares outgoing mail and correspondence, including e-mail, letters, and transmittals.
  • Coordinates with other corporate groups to fulfill administrative responsibilities in support of Alaska Operations initiatives.

This is a nonexempt position with an hourly rate of $36 to $43.

Minimum Qualifications:

  • A minimum of 2 years’ experience in a project administration or project coordination capacity.
  • A minimum of 3 years’ experience in a business office or executive administrative support.
  • Travel requirements varies based on need, approximately 10%

Preferred Qualifications:  

  • Bachelor’s degree in a relevant field (such as business administration, project management, engineering or equivalent) preferred.
  • Project Management certification or degree strongly preferred.
  • Experience with Power BI.
  • Alaska Seafood industry experience preferred.
  • Familiarity with building codes and general permitting preferred.
  • Ability to multi-task is crucial to success in this position, managing competing requests and meeting internal and external project deadlines.
  • Strong written communication & verbal communication skills.
  • Advanced competence in MS Office products including Excel and Power Point.
  • Ability to write professional correspondence, and to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to deal with problems involving a few concrete variables in standardized situations.
  • Additional skills and qualifications include organization, time management, attention to detail and ability to work independently.
